DrugBank - Administrative Assistant

  • Provide administrative support to the executive and the sales team.

  • Prepare meeting minutes, record decisions, schedule and coordinate meetings, and prepare documents and reports.

  • Variety of word processing, which may include complex memos, letters, file updates, presentations and ad-hoc reports.

  • Managing invoicing, receiving and checking invoices for discrepancies, and following up on all discrepancies with clients.

  • Corporate travel and accommodation arrangements; coordinate in-house meetings, luncheons, company workshops, training sessions, etc.

  • Work with other team members on grant applications.

  • Managing office supplies, deliveries, including picking up snacks, coffee etc.

  • Other duties as required.

Technical skills:

  • Proficient with Microsoft Office, Excel, Google Docs, Google Sheets and Google Calendar.

  • Able to effectively communicate with both managers and colleagues on a regular basis.

  • Above average communication skills, both written and verbal. Able to communicate in a way appropriate to the environment, maintaining confidentiality when required.

  • Exceptional ability to liaise in a professional and courteous manner to individuals across all levels of the organization (staff and membership).

  • Must have the ability to coordinate meetings and take minutes.

Education and Experience

  • Prior experience in administrative support is preferred.

  • Experience in grant writing.

  • A two year diploma or greater or equivalent experience.

  • Experience with CRMs like SalesForce or HubSpot is an asset.
