Jobber - Event and Program Coordinator

The Opportunity:

When it comes to telling the world about Jobber and moving new people through a funnel, Marketing is your team. They handle everything from spreading awareness, to answering “What’s Jobber?,” to getting new customers in the door, to turning those customers into Jobber advocates!  The goal of our Community team is to grow word of mouth, through formal (eg. Referral program) and informal (eg. Social media) customer and non-customer referrals.

The Event and Program Coordinator will help us ensure the smooth execution of our offline efforts. Reporting to the Marketing Manager, Community Engagement, you’ll be responsible for coordinating the majority of our event logistics, and being the ring leader who keeps all our events and people on time, on schedule, and moving in the right direction. We’re looking for someone who thrives in a fast-paced environment, jumps into action when the unexpected happens, and can juggle multiple priorities flawlessly. You’ll be a key support person on our Community team, and will be working alongside them to ensure our offline efforts come to life as planned.

Travel is not required, but the opportunity may arise if we are working on a particularly large event where more on-the-ground coordination is required.

The Event and Program Coordinator will…

Lead our trade show presence.

  • Liaise with our trade show management company to ensure our trade show schedule and trade show booth setup is on track.

  • Prepare registration, test accounts, slideshows, swag, shipping, etc.

  • Brief and debrief the tradeshow teams, or work with individual trade show leads to execute.

  • Liaise with our travel management company to book flights, hotel, car rentals, etc.

  • Work with individual trade show leads to brief sales, and work with our marketing-ops and demand gen teams to hand-off leads.

Coordinate our local events and other projects.

  • Lead event logistics for events outside of trade shows, such as local (Edmonton and Toronto) events, customer appreciation events, activations at partner or influencer events, mixers, speaker panels, etc.

  • Work with the rest of the Community team to manage the execution of event activations.

  • Write and send out event invitations, and manage RSVPs.

  • Coordinate event registration, rentals, purchases, venue rentals, etc.

  • Coordinate programs and projects such as customer welcome programs (e.g., mailing welcome postcards), referral program tests and initiatives (e.g., testing out mailing physical referral cards), influencer activations, and projects such as video production.

Be in charge of our swag.

  • Work with the rest of the community team to develop and maintain a swag plan and inventory that accounts for different use cases: trade shows, customer appreciation, thank you's, anniversaries, etc.

  • Be in charge of ordering, shipping, maintaining, and updating swag inventory.

  • Be the go-to for all teams when they want to send out swag.

In order to be successful, you will need…

  • 2+ years of experience with project or event coordination.

  • Proven time management skills. You have no problem balancing competing priorities, and understand exactly how much time you need to make it happen.

  • To take projects from ideas to execution. You’ve project managed before, and are excited to do it again.

  • The ability to collaborate. You’ll be working with other department leads and stakeholders to execute high-profile events and trade shoes that reflect Jobber’s brand and key initiatives.

  • To be a solid communicator. You’re clear in your layout of events, details and plans, can communicate your ideas to stakeholders, and have proficient writing skills for invitations and other communications.

  • To effectively prioritize multiple tasks and projects. New requests and opportunities will arise to make us change our plans last minute, but you got this.

  • To be proactive and adaptable. Events are unpredictable and we may need to get creative with invites and programming at the last minute, or ask you to step in and help with something outside of your day-to-day in order to pull off a great offline experience.

It would be really great (but not a deal-breaker) if you had…

  • A post-secondary degree or diploma in a related field, such as Business, Marketing, or Communications.
